Office and Talent Coordinator

Description

We are looking for an experienced Office and Talent Coordinator who will oversee a variety of day-to-day office and administrative tasks. You will play an instrumental part in ensuring that our front office operations run smoothly and support our talent operations team with interview scheduling and candidate on-site experience. Our ideal candidate is an organized and competent professional with excellent communication skills. You will be comfortable interacting with people and able to carry out administrative duties with accuracy. Responsibilities

  • Operates our reception/front desk support including greeting and making comfortable all visitors, job applicants, employees and contractors
  • Ensures front desk, meeting rooms and common office spaces (including mail/supply room and kitchen area) are presentable, set-up, clean and tidy
  • Responsible for sorting and distributing incoming and outgoing packages, deliveries and mail
  • Supports remote (phone/video) and on-site interview scheduling within our systems, greeting and setting up candidates for on-site interviews, and managing the process for candidate travel
  • Manages catering relationships and coordinates office and kitchen supply replenishment including ordering and stocking supplies as needed
  • Assists in the planning, organizing, and execution of activities of company meetings and events such as our weekly all-hands meetings, internal social events, company off-sites, etc.
  • Support the facilities team with invoice recording, vendor relations and other special projects
  • Coordinate in-house training workshops and monthly new-hire orientations

Requirements

  • Proven experience as office coordinator, office manager, HR/Talent coordinator, executive assistant or similar role
  • Demonstrate excellent communication and interpersonal skills
  • Ability to multi-task and perform under pressure
  • Ability to work collaboratively across different teams
  • Possess strong organization and prioritization skills
  • Strong knowledge and abilities with Google applications (Gmail, Google Drive, etc.)
  • Proficient in Word, Excel, Typing
  • Working knowledge of office equipment (e.g. scanner, printer, etc.)
  • Demonstrates positive, fun, professional, “can do” attitude on a daily basis
